A years-of-service award is the rare corporate certificate that is genuinely earned by time. Nobody competed for it and nobody was nominated: somebody simply stayed, through three reorganisations and two office moves, and the company noticed. The risk is handing over something that reads like it was generated — because at ten years, that is worse than nothing.

What to write on it

Put the number of years on it. That is the whole point of the award, and “in recognition of your long service” throws away the only fact that matters.

Then add one thing only that person did. The system knows the start date; a colleague has to supply the rest. “For ten years, and for every new starter you have trained since 2016” is a sentence someone keeps. Milestones are usually 5, 10, 15, 20 and 25 years, and the wording should get warmer as the number grows, not more formal.

Getting it right

  • Present it in front of the team, not at a desk. A service award handed over privately reads as an administrative task.
  • Get the years right. Check the start date before you print. Being told you have done nine years when you have done ten is a small insult that lands.
  • Sign it by hand, and have the person who actually works with them sign it too, not only the CEO.
  • Do not batch them all in December. The anniversary is the date that means something.

Which certificate does this job?

This one is for time served. If you are recognising a specific piece of work or a month’s performance, the employee of the month certificate is built for that; for thanking someone for a contribution rather than a tenure, use the certificate of appreciation; and for training and courses, the business certificate of participation.

Before you print

Click any line above and type over it, pick a design and paper size, and download the PDF — it is made in your browser, so employee names never leave your computer. If you need the company logo or a second signature line, download the PowerPoint or Word version. Print at 100% scale, not “fit to page”, in landscape, on 200 gsm. A service award printed on office copier paper says exactly what you did not mean to say.

Questions

What do you write on a 10-year service award?
The name, the number of years, the company, and one specific thing they are known for. Four facts, one sentence. Anything longer gets skimmed, and anything vaguer gets forgotten.

Should it come with a gift?
If there is one, the certificate is what makes it legible — it says what the gift is for, and it is the part that survives on a wall after the voucher is spent.

Can we add our company logo?
Not in the browser version, which keeps the layout fixed. Download the PowerPoint or Word file, add the logo once and reuse it for every milestone.

Is it really free?
Yes, for personal, educational and commercial use, with no watermark and no account. The only thing you cannot do is resell the file itself as a template.
